How to Download Your PayPal Transaction History

3. Do not overlap date ranges unless you plan to deduplicate deliberately.
4. Record the PayPal account and currency scope in a separate inventory.

When activity spans multiple PayPal accounts, download each account independently. A report from one login does not become a complete record of another account merely because the same person controls both.

Validate a multi-period PayPal archive

For every report, record the account, report type, start date, end date, timezone, filters, currency scope, row count, and completion date. Before appending working copies, confirm that periods neither overlap nor leave a gap. Add a source-period column so each row can be traced back to its untouched report.

Do not remove rows merely because the date, amount, and counterparty match. An original payment, fee, currency conversion, hold, refund, or reversal can be represented as related but separate account events. Use transaction and reference IDs plus status to establish the relationship.

After combining files, compare the total row count with the sum of the sources and reconcile totals by currency and transaction type. Keep any importer mapping or rejection report beside the working file.

Why a PayPal history report is delayed or incomplete

Large reports can take several business days

PayPal says large History Log requests can take up to five business days depending on server load and that it sends an email when the file is ready. Small logs may download immediately.

Only recent completed large logs may remain saved

PayPal’s current help text says it saves the three most recently completed large History Log files. Download and archive a report when it becomes available instead of treating PayPal’s report list as permanent storage.

The request covers more than 12 months

Split the period into smaller consecutive ranges. Check for missing dates or accidental overlap between the end of one file and the beginning of the next.

Filters excluded activity

Generate a broader report with fewer filters, then compare the row count and boundary dates. Use spreadsheet filters on a working copy after confirming the source export is complete.

The CSV looks wrong in Excel

Import it through Excel’s data tools instead of double-clicking. Treat transaction IDs as text, verify currency columns, and make sure dates were not automatically changed to the wrong regional format.
